Use of Official Proclamation

An official proclamation can be used to attract the media by stating that observance of National Healthcare Access Personnel Week has received endorsement by the Governor, Mayor and/or chief administrator of your hospital.  A copy of the proclamation can be framed and placed in the Access Department office, the Hospital Administration office or the lobby.  Notice of the official proclamation can be displayed on hospital bulletin boards during National Healthcare Access Personnel Week.  The proclamation can be printed in your hospital's employee newsletter, accompanied by an article about your Access Department.

Sample Letter to Government Official:

Dear Mayor Brown:

As an Access Manager of (name of your hospital) and member of the National Association of Healthcare Access Management (NAHAM), I am writing to request your recognition of the contributions made by the hospital Access personnel in our community.

This year's observance of National Healthcare Access Personnel Week, endorsed by the American Hospital Association and NAHAM, is April 5-11. As part of our observance, we would like you to honor our Access Department Staff with an official proclamation.

The Access Department plays an integral role in serving as goodwill ambassador for the hospital and the community. Most often the Access Department is the patients' first introduction to the hospital and serves as a major referral center for both patients and hospital personnel.

I have taken the liberty of drafting a sample proclamation for your review. We would appreciate receiving this proclamation by Monday, March 8. Please contact me if you require any additional information. Thank you for your consideration of this request.

Note: If you are planning to send a letter to your governor requesting a proclamation, you may want to first check with your state office. They may have already made arrangements for a proclamation from the governor.

Timeline: The letter to your mayor should be sent to his office several weeks prior to National Healthcare Access Personnel Week. This allows enough time to coordinate an official signing ceremony. The ceremony is a good opportunity to take photographs that can be sent to local newspapers and displayed in your hospital.

Sample Proclamation:  

WHEREAS, those who serve in hospitals have a major responsibility to the welfare of our community; and

WHEREAS, the Access Department is most often the patients' introduction to the hospital and becomes a major referral center for both patients and hospital personnel; and

WHEREAS, the Access Department plays an integral role in serving as a goodwill ambassador for the hospital and the community; and

WHEREAS, the success of hospital Access Department could not have been achieved without the contributions and dedication of all Access personnel; and

WHEREAS, the National Association of Healthcare Access Management was officially organized on April 5, 1974, in order to promote high standards, provide leadership and guidance for Access professionals and foster cooperation and knowledge; and

WHEREAS, it is most appropriate to set aside a special time to recognize the contributions of hospital Access personnel. In tribute to the good work and conscientious attitude of Access personnel in __________________ Hospital, I am please to proclaim April 5-11, 2015 as National Healthcare Access Personnel Week.
